How to set up online booking in Jane, and get patients to use it

Turning on online booking in Jane takes a few minutes. Getting new patients to actually use it takes a little more care. This guide covers both: the settings to change, the choices that matter, and where to put the link.

Menu names below come from Jane’s own help guides. Jane updates its screens from time to time, and your Jane plan may affect which settings you see, so if something has moved or is missing, search Jane’s guides for the setting name or contact Jane support.

Before you switch it on

Online booking only shows what you have already set up elsewhere in Jane. Check these first, because a missing piece is the usual reason a patient sees no times:

You will need Full Access staff permissions or above to change the online booking settings.

Step 1: Turn it on

  1. Go to Settings, then Online Booking Site.
  2. Set the online booking policy to Online booking allowed.
  3. Click Save.

Jane’s guide says the booking page is live as soon as you save. If you are not ready for patients yet, do the next steps first and save this one last, or tell your team before you flip it.

Step 2: Choose what patients can book

On the same Online Booking Site page, you pick which treatments are listed. This is the most important decision on the page.

For a physio or chiro clinic, a new patient should be able to find one obvious choice: the first visit. If your list shows twelve treatments with internal names, a nervous new patient will guess, and guess wrong. Consider listing only the treatments a new patient needs, plus follow-up visits for existing patients.

Add a short description to each treatment. Jane shows that text on the treatment’s button, so use it to say who the visit is for and what to bring, for example “Choose this if it’s your first visit with us or you haven’t been in for six months. Please arrive ten minutes early.”

Step 3: Set the clinic-wide rules

The same page has a section for booking and cancelling rules. These are the settings most clinics care about:

These are clinic-wide settings. Jane applies them to everyone, so you can’t give one practitioner a different rule from the page itself. If you want to charge for late cancellations or no-shows, check the rules where you practise first.

Step 4: Check each practitioner

Each staff member has their own online booking settings in their profile. There you can decide whether that person appears online at all, and how far ahead patients can book them.

If a practitioner is on leave or has a full list, switch them off online rather than leaving an empty calendar that looks like the clinic is closed. Add a photo and a short bio. Jane shows both on the booking page, and people like to know who they are about to meet. If someone has no photo, using your clinic logo looks better than a blank circle.

Your public booking link is under Settings, then Branding, at the bottom of the page. You can copy a link for a text hyperlink, or the code for a ready-made button.

Then use it in the places patients actually look:

  1. Your website. Put a button that says Book online at the top of the homepage and repeat it lower down. Link straight to the booking page, not to a contact form. Our new patient homepage checklist covers what else belongs there.
  2. Your Google Business Profile. Add the same link as an appointment link. Our guide to adding a booking link to your Google profile has the steps.
  3. Appointment texts and emails. Anyone who asks “can I book my follow-up?” should get the link in one tap.
  4. Social profiles and email signatures. Easy to forget, and they cost nothing.

Preview it like a patient

To see what patients see, open the menu under your name at the top right and choose Online Booking Site.

Do not stop at the preview. Open the link on your phone, in a private browser window, and try to book a first visit as if you had never heard of the clinic.

If you get unwanted bookings

Some clinics get fake or unwanted bookings once the link is public. Jane has a setting that makes new patients verify themselves with a mobile code or an email link before they can finish booking. Jane’s team turns it on for you, and contact Jane support to ask for it. There is also an approach for limiting online booking to approved patients, which is covered in Jane’s own guides.

A five-minute check

Once the button is live, our website grader will tell you whether it can find a booking link on your homepage.

If you would like help checking the whole path, from Google to booked appointment, we will walk through it with you at no cost.

See which parts of your marketing need attention first

We look at your website, online profile, reviews and booking path, and tell you where to start.
