Physical therapy marketing reporting you will actually read
Calls. Booking requests. Booking-link clicks. One page a month, in plain words, with what we are changing because of it.
We set up the tracking, pull the numbers from accounts in your clinic’s name and explain them in a way a busy owner can read in five minutes. It suits solo clinics, growing practices, multi-location groups and new clinics that want a baseline from day one.

- Numbers you can check
Our figures come from a public scan of clinic homepages, and we publish how we counted.
How we count - Your accounts stay yours
Your domain, website and online profile are in your name from day one.
How we work - Month to month
No long contract. Thirty days’ notice, and your accounts and numbers stay with you.
Read the FAQ - No patient information needed
We work on your website, profiles and settings. Patient records stay in your clinic.

- 49% of physio and 45% of chiro homepages in our scan had no online booking we could find. If a booking path is hard to find, it is hard to count too. Our scan of 81,024 clinic sites
- 68% of physio and 57% of chiro homepages showed no star rating or review count.
- Your analytics, online profile and booking accounts are in your clinic’s name, so you can check any number yourself.
- The report shows counts, not people. We do not need patient records.
If you cannot see what brings patients in, you are guessing
Think about a clinic owner at the end of a busy month. The schedule felt full, or it did not. Somewhere in the numbers is the reason, but the numbers live in four places: Google, the website, the booking software and the front desk. Nobody has time to line them up.
A good report does that for you. It shows what happened, what probably caused it and what to do next, and it is honest when a number is an estimate.
1. Built for the front desk
We start from the questions your front desk asks. How many people called? How many asked to book online? How many clicked the booking link? Everything else is there only if it helps explain those.
2. Built to be checked
Every number comes from an account you can open yourself. The report is a summary, not a gatekeeper.
3. Built for action
A number without a next step is just decoration. Each month ends with what we are changing because of what the numbers showed.
What you should see depends on where your clinic is
A clinic with a new online profile needs different numbers from one with a busy site and three locations. We keep the page short and change what goes on it.
4. New clinics
You do not have a history, so the first job is a starting picture. We set up tracking before you open, or as early as we can, so that month one has something to compare against month two.
5. Solo and small clinics
You want to know if the phone and the booking link are working, in a page that takes five minutes. We keep it to the few numbers that matter, with a short note on what we did.
6. Growing practices
Several practitioners and several services means questions like which pages bring in new visits. We split the report by service, so you can see where interest is growing.
7. Multi-location groups
Each location has its own phone, profile and booking link. We report each location on its own page and add a short summary across the group, so a quiet clinic is not hidden by a busy one.
8. Clinics that already have a report
If you already receive a report you do not read, we start by checking what it counts and what it leaves out. Often the fix is fewer numbers, set up properly.
What is in the monthly report
One page, in the same order each month, so you learn where to look.
9. This month, in one glance
Calls shown in your online profile where Google still reports them, and taps on your phone number. Booking requests, booking-link clicks and calls we can track. First visits, if you share the count with us.
10. Where people came from
Your online profile and your website. Social, email or ads, if we manage them for you.
11. Reviews
New reviews this month, your average rating and anything waiting for a reply.
12. Where you show up
A few searches that matter for your clinic and how you appear for them. We pick these with you. We do not report a long list of keywords.
13. What we did
A short list of changes made this month, such as a new page, an updated profile or a fixed booking link.
14. What we are doing next
What we are changing because of the numbers, and what we need from you. If something is flat, we say so. If something improved, we say why we think so, and when we are unsure.
Not sure where your clinic stands? We’ll look at it the way a new patient does and send a short written report. No pitch.
How we count, and what we cannot count exactly
Some numbers are exact. Some are good estimates. Some cannot be counted at all. We tell you which is which.
15. Calls and phone taps from your online profile
Google reports calls made from your profile. It counts these separately from calls from your website, so we show them separately, and we do not add them together without saying so.
16. Calls from your website
A tracking number on your website, or a click-to-call count, shows how many people tapped to ring you. A tapped call is not always a completed call, and we say so.
17. Booking requests and booking-link clicks
A booking-link click means someone reached your booking page. A booking request means they sent one. These are different, and the report keeps them apart.
18. First visits
We can count first visits only if you share the number with us, from your schedule or your front desk. If you do, we show it beside the other counts. If you do not, the report does not guess.
19. The ones we cannot trace
Walk-ins, word of mouth and a call to the number on a card are hard to link to marketing. We ask your team how new patients heard about you and include that in the report.
20. Estimates are labelled
Where a number is an estimate, the report says so. We do not publish a figure we cannot stand behind.
What we set up so the numbers line up
Reports are only as good as the tracking behind them. A good part of the first month goes into getting this right.
21. Website analytics
We set up analytics on your site in an account in your clinic’s name, with the booking button, phone number and form marked as things to count.
22. Booking button tracking
Each Book online button gets a tag, so we can tell a click on your homepage from a click in your online profile or a newsletter.
23. Call tracking
Where you agree to it, a tracking number on your site lets us count calls that come from the website. It is optional, and your online profile number stays as it is.
24. Online profile data
We read the calls, direction requests and website clicks your online profile already reports, and set them beside your site numbers.
25. A test before the first report
We test each tracked item ourselves, so that the first report is not the first time anyone finds a button that does not count.
What we write and set up for you
You get the report, the setup and the notes, not just a login and good luck.
26. The monthly one-page report
Written in plain words, in the same order every month, with the numbers and our notes on them.
27. The first-month baseline
A starting picture of calls, booking requests and booking-link clicks, so that every later month has something to be measured against.
28. A short note on what changed
Not a list of tasks. A few lines on what we changed, what happened afterwards and what we think about it.
29. A simple question for your team
A one-line question to ask new patients, such as how they heard about you, with a way to note the answers. We write the question; your front desk asks it.
Accounts and tools we pull from
We use what Google, your website and your booking software already report, and set it up so the numbers line up. All accounts stay in your clinic’s name.
- Google Business Profile. Calls, direction requests and website clicks.
- Google Analytics. Visits and the booking, call and form events we set up.
- Jane and Cliniko. We work with Jane and Cliniko. Using something else? Tell us.
- WordPress, Squarespace and Wix. For adding tags and tracking to your site.
- Meta Business Suite and Google Ads. Only if we manage social or ads for you.
- A call tracking number. Optional, and only with your approval.
A report is useful only if it changes something
Counting booking requests is not the goal. Getting more of them is. The report is how we find out what to change.
30. Calls and bookings first
We put the numbers closest to your schedule at the top. Impressions and reach come only when they explain something.
31. The gap between click and request
If many people reach your booking page and few send a request, the page is the problem, and we say so. Online booking
32. The weak page
When one page gets visits but no clicks, we rewrite it. When one performs well, we look at why. Content marketing
33. Reviews and profile
Review counts and profile actions often move together. We watch both. Reviews
34. A clear next change
Each month closes with one or two changes we will make, and why. You can say no to any of them.
Not sure where your clinic stands? We’ll look at it the way a new patient does and send a short written report. No pitch.
How reporting works, step by step
35. Marketing audit
We look at what you can count today: your analytics, your online profile, your booking link and your phone. We tell you what is missing.
36. A plan
We agree what to track, which accounts we need access to and whether you want call tracking.
37. The fixed setup
We set up the tracking and the baseline report for one fixed amount agreed in writing before we start.
38. Your approval
You see the report layout and the tracking plan. Nothing is installed until you say yes.
39. First report
We send your first baseline report, and walk you through it if you ask.
40. Monthly care (optional)
One page, by email, early each month. You can stop at any time and you keep every account.
What monthly reporting can include
The first report is a baseline, not a verdict. A trend only appears after a few months, and we will say so. Monthly care keeps the numbers current and the changes moving.
- The one-page monthly report, early each month
- A check that every tracked button, number and link still works
- Updates to tracking when you change your site or booking software
- A short note on calls, booking requests and booking-link clicks
- First visit counts alongside, if you share them
- Search positions for a few searches we agree with you
- A plan for the coming month, with anything we need from you
Why clinics choose Packed Book
41. Built for private practices
We report on physiotherapy and chiropractic clinics. We know which numbers matter to a front desk and which ones are noise.
42. Our own scan of 81,024 clinic sites
We looked at 21,478 physio and chiro homepages (10,253 physio, 11,225 chiro; Canada and the US; November 2026). Our reporting starts from what clinics actually show patients. Read the findings.
43. You own every account
Your analytics, online profile and booking software are in your clinic’s name. We use invited access, never your passwords.
44. Nothing goes live without your approval
We do not install tracking or publish changes without your yes.
45. Plain monthly reports
One page. Plain words. No impressions, no filler, no dashboard you will never open.
46. We check against regulator rules
When the report leads to a change in your copy, we check it against your regulator’s advertising rules. We are not giving legal advice.
If your reports look busy but tell you nothing, something is missing
Many clinics get a report each month and still cannot answer whether it is working. These are the usual causes.
47. Too many numbers
A long page of graphs hides the three that matter. We start with calls and booking requests.
48. Nothing is tracked
The booking button, the phone link and the contact form are not counted. We mark them and test them.
49. Numbers added up wrongly
Calls from Google and calls from the website get added up and counted twice. We keep them separate and say how they relate.
50. No baseline
Without a starting figure, a good month and a bad month look the same. We take a baseline first.
51. No one explains the numbers
A chart is not an answer. We write what the numbers show and what we are changing.
52. Someone else holds the accounts
If your agency owns your analytics, you cannot check anything. We set everything up in your clinic’s name.
Questions owners ask
Will you promise growth every month?
No. Clinics have quiet months. We promise honest reporting and changes when something is not working.
Can you tell which patients came from marketing?
Partly. Calls and booking requests can be tracked in many cases. Walk-ins and word of mouth are harder. We will ask your team how new patients heard about you, so the report includes that too.
Can you report first visits?
Only if you share the count with us, from your schedule or your front desk. We do not guess, and we never need to see patient records.
What if we do not have analytics set up?
We set it up. Basic tracking is part of getting started.
Do we get dashboards?
We can share access to your accounts. The monthly page is the one to read.
Do you see patient information?
No. We work from counts and settings, not patient records. The report shows counts, not people.
Can the report show competitors?
Only in general terms, such as how many reviews nearby clinics have. We do not name them.
Do I need a call tracking number?
No. It is optional. Without it, we count calls shown in your online profile (where Google still reports them) and taps on your phone number, and the report says what that does not cover.
When does the report arrive?
By email, early each month. The first one is a baseline, so you have something to compare against.
Can I see the numbers myself?
Yes. Every account is in your clinic’s name. You can open any of them at any time. The report is a summary, not a gatekeeper.
What if the numbers look bad?
We tell you, and we say what we are changing. A flat month is still useful information.
We use Jane or Cliniko. Does that work?
We work with Jane and Cliniko. Using something else? Tell us in the form and we will say whether we can help.
