The tools your clinic already uses, and what we do inside them
You already pay for booking software, a website and a handful of Google and social accounts. We work inside those, through invited access, so nothing moves out of your name.
This page lists each tool, what we do there and where to read more. These are the tools clinics already use. We are not a partner or reseller of any of them.
- Numbers you can check
Our figures come from a public scan of clinic homepages, and we publish how we counted.
How we count - Your accounts stay yours
Your domain, website and online profile are in your name from day one.
How we work - Month to month
No long contract. Thirty days’ notice, and your accounts and numbers stay with you.
Read the FAQ - No patient information needed
We work on your website, profiles and settings. Patient records stay in your clinic.
Privacy policy
How we get into your tools
The same rules apply to every tool on this page.
1. Invited access, never passwords
You add us as a user from inside each account, with the level of access the job needs. You can see us in the user list, and you can remove us whenever you like. We never ask for a password.
2. Everything stays in your clinic’s name
Your booking account, online profile, ad account, analytics, social pages and website belong to the clinic from day one. If we stop working together, you keep all of it.
3. Settings, not patient records
We work on settings, links, pages, posts and reports. We do not need to open patient files, and we do not ask to. See how we work.
4. Nothing goes live without your approval
We draft, you read, you say yes. That holds for an online profile edit, a social post and a new page alike.
Booking software
Many patients meet your booking page just before they become patients. A clumsy link, the wrong appointment type or a hidden button costs you visits that were already decided. We work with Jane and Cliniko. Our guide to choosing between them is there if you are still comparing.
Jane
What we do in it. We check the online booking settings a patient sees: which appointment types can be booked, which practitioners show and which location the link opens. We then place your booking link, or a Book online button, on your website, your online profile and your email signature. Jane gives clinics button embed codes and a plain link, so we can use whichever suits your website platform.
What we do not do. We do not open charts or patient files. Booking settings and branding are enough for the job.

Cliniko
What we do in it. The same checks as for Jane: appointment types, practitioners, locations and the notice and cancellation settings patients see. Cliniko gives clinics an embed code for their site as well as a booking link, and we choose between them after testing on a phone. Menu names change, so we follow Cliniko’s own help pages for the steps on your plan.
What we do not do. No patient records, and no changes to your billing or scheduling rules without your say.

Four Google tools sit behind much of what a new patient sees and much of what you can measure.
Google Business Profile
What we do in it. We check your name, category, hours, services, photos and booking link, and keep them accurate. We set up a review routine, draft replies for you to approve and post only what you have approved. Google ended call history in Business Profile in July 2024, so we say plainly in your report what can and cannot be counted.

Google Ads
What we do in it. If ads make sense for your clinic, they run in your own Google Ads account and you pay Google directly. We manage the campaigns, write the ads and check them against Google’s health advertising rules. Those rules limit how health ads can be targeted, and we explain what that means before anything runs.

Google Analytics
What we do in it. We set up analytics in an account in your clinic’s name and mark the things worth counting: taps on the Book online button, taps on your phone number and enquiry forms. That is what lets a monthly report show what your marketing led to rather than only how many people visited. We do not put patient details into analytics.

Google Search Console
What we do in it. Search Console is Google’s own report on how your site appears in search. We use it to see which searches show your site, to spot pages Google cannot read and to check that new pages are found. It tells us where to look first when a page is not appearing.

Not sure where your clinic stands? We’ll look at it the way a new patient does and send a short written report. No pitch.
Your website platform
If your website runs on a common platform and can do the job, we work with it as it is where we can. If it cannot, we tell you why before you spend anything. Our comparison of the three is in WordPress vs Squarespace vs Wix for a clinic website.
WordPress
What we do in it. We update page copy, add condition and service pages, place the booking button, improve load speed and add tracking tags and a rating or review block. We ask for a user login created for us, never yours, and we note the plugins involved so you know what you rely on.
Squarespace
What we do in it. The same jobs, within what Squarespace allows. Booking links usually go in as a button with a plain link, and we check how it looks on a phone. If something cannot be done on the platform, we say so plainly.
Wix
What we do in it. The same again. Many clinic sites on Wix can take a booking button, new pages and tracking. If a limit is in the way, you hear it before any work starts.

Email tools
Email and newsletter platforms
What we do in it. Your clinic sends email from its own system, in an account in its name. We write the emails, set up the sign-up form and the template and tag the booking links so a click can be counted. We do not need your patient list, and we do not send to it ourselves. We also check that your consent wording matches the rules that apply to you, including CASL in Canada. This is not legal advice.

Using something else? Tell us.
If your booking software, website builder or email tool is not named here, put it in the audit form. We will say honestly whether we can work in it, and we will not pretend we can if we cannot.
Questions owners ask
Are you a partner of Jane, Cliniko or Google?
No. These are tools clinics already use, and we work inside them through invited access. We are an independent agency.
Do I have to change software to work with you?
No. We start from what you already pay for. If your tool is a poor fit for what you want, we tell you, and you decide.
Do you need my passwords?
Never. You invite us from inside each account, and you can remove us whenever you like.
Will you see my patients’ information?
No. We work on settings, links, pages and posts. Patient information stays in your clinic’s systems.
Who owns the accounts you set up?
You do. Every account is created in your clinic’s name, and you keep it if we part ways.
Social media
Meta Business Suite (Facebook and Instagram)
What we do in it. Your Facebook page and Instagram account stay in your clinic’s name, and we are added by invitation. We schedule posts you have approved, keep the bio and booking link consistent across both and read the basic results. Meta has its own content and advertising policies for health topics, and we check the current pages before doing anything beyond ordinary posts.
