Step 3: bring patients back
A new patient costs time and money to find. A past patient already knows your clinic, trusts your team and has your address. Yet many stop booking simply because nobody reminded them you are there.
This step keeps your schedule full with the people you have already treated: a short email they want to read, social posts that show the real clinic, and a front desk that turns every call into a time in the book.

- Numbers you can check
Our figures come from a public scan of clinic homepages, and we publish how we counted.
How we count - Your accounts stay yours
Your domain, website and online profile are in your name from day one.
How we work - Month to month
No long contract. Thirty days’ notice, and your accounts and numbers stay with you.
Read the FAQ - No patient information needed
We work on your website, profiles and settings. Patient records stay in your clinic.

What “bring patients back” means for your clinic
It is not discounts or pressure. It is staying in touch, honestly and with consent, so that when a patient’s knee flares up again, your clinic is the first one they think of.
Three habits do most of the work:
- A useful email. Short, monthly, with one easy way to book, sent only to people who agreed to hear from you.
- A steady social presence. Real posts about the real clinic, so patients see you are open, busy and human.
- A front desk routine. A warm answer, two clear times, and a callback when nobody can pick up.
Your schedule already holds the evidence
We did not scan for this one, because the numbers are in your own booking software. Try one count: how many patients who saw you last year have not booked since? That list is the quickest place to fill open time in your schedule.
The phone matters too. Of the 81,024 clinic homepages we read in Canada and the US, 51% had no tap-to-call link, and 44% had no online booking we could find. For those clinics, every returning patient has to get through on the phone. How we counted.
How we help patients come back
1. Start with your own list
You pull a simple count from your booking software: patients seen in the last two years who have not booked since. We never see patient records. We work from counts and settings.
2. Check consent first
Canada’s anti-spam law (CASL) and the US CAN-SPAM Act set rules on who you can email and how. We set up the sign-up form and consent wording, and your clinic sends from its own system.
3. Write emails worth opening
One short email a month: a seasonal tip, a new practitioner, a change in hours, and one button to book. No hard sell.
4. Post the real clinic
A simple social plan built around what actually happens in your clinic, with templates your team can fill in a few minutes.
5. Fix the front desk call
A greeting, a short path to two specific times, a voicemail that gets a callback and a text back with your booking link.
6. Count what comes back
Booking-link clicks from emails and posts, booking requests, and returning visits if your clinic shares the count. Step 4 covers how.
The services in step 3
Email newsletters
Consent-based newsletters and reactivation emails, written by us and sent from your clinic’s own system. See Email newsletters.
Social media
A practical posting plan and templates for Facebook and Instagram that show the real clinic and point to booking. See Social media.
Front desk calls
Phone scripts, missed-call follow-up and coaching that turn calls into booked visits. See Front desk calls.
Not sure where your clinic stands? We’ll look at it the way a new patient does and send a short written report. No pitch.
How step 3 fits the two ways to work
Fix it once
We set up the newsletter template and sign-up form, write the first emails, build a 90-day social plan with post templates, and write your front desk playbook. Then we train your team to run all three.
We manage it
Today, our monthly plan covers your website only. Your team runs email, social and the front desk with the playbooks and templates we leave behind. Your site stays current and every booking path is tested each month. See website management.
Step 3 of 4
- 1. Get found. Patients nearby see your clinic first. Get found.
- 2. Win the visit. Your site, booking and reviews turn a look into a booked first visit. Win the visit.
- 3. Bring patients back. Newsletters, social posts and the front desk keep your schedule full. You are here.
- 4. Know what works. A plan, honest tracking and one plain report a month. Know what works.
Questions owners ask
Do you see our patient list?
No. Your clinic sends from its own email system, so the list stays with you. We write the emails and set up the form, the template and the consent wording.
Can we email every past patient?
Not always. In Canada, implied consent from a visit expires two years after the visit, and six months after an inquiry. We help you set up proper consent going forward. This is not legal advice.
How much time does social media take?
About 30 minutes a month from your team, using the plan and templates we set up.
Will this fill our schedule?
We cannot promise a number of visits. We can promise the work, done properly, and an honest count of what came back.
